AngelTrax, a mobile video surveillance company in Dothan, Alabama, is seeking a highly motivated Event Coordinator to join our in-house Marketing Department team under the leadership of the Marketing Director. To be chosen for this role, you must have a high skill level in organization and business communication as well as the ability to multi-task efficiently with a high level of attention to detail. NOTE: This position is on-site at our corporate headquarters in Southeast Alabama. This is not a remote position.

Responsibilities
  • Research and secure premier trade show and conference opportunities aligned with company goals
  • Review trade show contracts, booth locations, sponsorship packages and ancillary services with venues and organizers
  • Coordinate shipping and logistics, internally and with external vendors
  • Track shipments to event site and sales representatives attending shows
  • Develop comprehensive travel itineraries for staff, speakers and VIP guests
  • Book airfare, ground transportation, and lodging—ensuring cost-efficiency and traveler comfort
  • Communicate continually with national sales executives via email, phone and online portal
  • Serve as the primary point of contact during events, troubleshooting in real time
  • Oversee booth setup, staffing schedules and promotional activities
  • Coordinate attendee registrations, speaker logistics and hospitality suites
  • Collaborate with other marketing team members to expedite shipments of marketing collateral and equipment for trade shows
  • Manage multiple projects simultaneously, meeting deadlines and maintaining high standards
  • Collaborate with internal teams to plan, decorate and host events for employees and families at corporate office and at off-site venues
  • Tracking expenses and approvals
  • Collect post-event data for future planning
  • Recommend improvements and cost-saving measures for future events
Experience/Skills Required
  • Proficiency in event management and travel booking platforms (e.g., ExhibitForce, Cvent, Eventbrite, Concur)
  • Proficiency in Microsoft Outlook and Excel
  • Exceptional organizational capabilities and keen attention to detail, ensuring flawless execution of complex logistics
  • Strong negotiation skills and proven success managing vendor contracts
  • Excellent written and verbal communication; comfortable liaising with internal teams and external vendors
  • Strong creative thinking and problem-solving abilities
  • Attention to detail and a commitment to delivering high-quality work
  • Ability to adapt quickly to changing priorities
  • Organizational skills to prioritize and manage multiple deadlines effectively
  • A proactive attitude and eagerness to learn and grow within the role
Experience/Skills Preferred
  • 2+ years' experience in event coordination, trade shows or corporate travel planning

Full-time, on-site (no remote work or travel)
