Job Description

The ideal candidate must be able to work efficiently and accurately in a fast-paced environment. Ability to multi-task, use good judgment, prioritize, and work independently are essential. The Executive Assistant will be responsible for performing a variety of duties related to trade show coordination, event planning, purchasing, clerical/word processing, customer service, and other duties as assigned. This job requires a dependable and self-motivated individual with a strong work ethic as this position is critical to the day-to-day operations of the company. The Executive Assistant will report directly to the General Manager of Operations.

Required

  • Minimum of 5 years of experience in customer service in an office environment
  • Must be computer savvy and proficient in Microsoft Excel and Outlook
  • Excellent written and verbal communication skills
  • Must possess basic mathematical skills
  • Ability to develop and maintain cooperative working relationships with others
  • Strong organization skills, attention to detail and prioritizing skills
  • Ability to use good judgment in order to carry out detailed instructions
  • Ability to juggle multiple projects with superb accuracy
  • Strong administrative skills
  • Strong sense of urgency and problem solving skills

Education

  • Associates degree or higher preferred

Job Type

  • Full-time, on-site (no remote work or travel)

Responsibilities

  • Coordinating all aspects of national and state trade shows for Outside Sales Executives, including, but not limited to, registration, hotel and travel accommodations, shipping trade show materials, and requesting approval for future trade show dates
  • Processing paperwork for purchase orders
  • Assisting in any aspect of corporate events as requested by the General Manager of Operations
  • Exceptional customer service skills, over the phone and in person, with our customers and internal departments
  • Carrying out administrative duties such as data entry, filing, copying, scanning, etc
  • Answering and direct phone calls when required
  • Handling sensitive information in a confidential manner
  • Maintaining polite and professional communication via phone, e-mail, and mail
  • Working closely with other departments as needed
  • Performing related duties as assigned
