Job Description

AngelTrax is a privately owned leading designer, manufacturer and provider of high-definition mobile video surveillance solutions for multiple transportation industries across the United States and abroad. We are pleased to announce that our bid team is growing, and we are seeking applicants with experience as a legal assistant, legal secretary, and/or paralegal to join our company. This position requires performing a variety of legal secretarial and administrative duties for the bid team. The Bid Specialist Paralegal will require a working knowledge of legal concepts, contracts, terminology and processes. A successful candidate will assist with contract drafting, execution and management, and must understand the basic components of a contract while tracking key milestones and dates. This will include coordinating any changes that may transpire and ensuring those changes are documented. The Bid Specialist Paralegal must be able to work collaboratively with all areas of the company and comply with established policies and procedures.


  • Create and coordinate the production of a bid proposal submission in response to a Request For Proposal (RFP)
  • Work closely with the bid team and other departments
  • Perform research that is necessary for a bid and accurately convey all information pertaining to the bid
  • Assist with document reviews, pricing summaries and other tasks as needed
  • Verify all required forms, certificates, signatures and other proposal requirements are included before processing complete bid
  • Assess contracts and bring any concerns to supervisor
  • Review contracts and contractual documents for legal issues, concerns and a possible resolution
  • Successfully draft and format documentation and decipher contracts related to the mobile video surveillance industry
  • Analyze documents and legal descriptions
  • After each bid submission, create and distribute a list of projects/procedures to be completed by various departments for each bid, if awarded
  • Document processes, create and maintain files–both electronic and hard files
  • Input and maintain information into the bid team system, ensuring data integrity
  • Provide high-level support for legal specialty areas such as contracts
  • Assist with writing and documenting reviews
  • Provide timely information and answers to bid questions
  • Provide contractual support and assistance for the bid team
  • Establish work plans, meeting minutes and responses as needed
  • Prepare agenda/schedule for webinars
  • Be able to handle high-stress situations under tight deadlines and work extra hours if needed

Experience/Skills Required

  • Must have strong project management skills
  • Must possess the ability to use independent judgment with a high level of initiative
  • Must be computer savvy and be proficient in Microsoft Word, Excel and Outlook
  • Must have excellent interpersonal skills, including written and verbal communication skills
  • Must have strong organization skills, know how to prioritize and have a strong attention to detail
  • Must have the ability to follow directions, understand work rules and procedures and accept constructive criticism
  • Must have professional customer service skills
  • Must know how to multi-task while maintaining accuracy
  • Must maintain a strong sense of urgency
  • Must have a proven track record to manage responsibilities in a fast-paced environment
  • Must have the ability to perform under pressure and manage large work volumes while working in a fast-paced environment with minimal, direct supervision

Experience/Skills Preferred

  • Preferred minimum of 2 years’ experience as a paralegal or legal secretary
  • Bachelor’s or associate degree preferred but not required

Job Type

Full-time, on-site (no remote work or travel)
